What the contract includes

An AMC customer in Dubai Marina calls in August because a bedroom AC is dripping. Because the contract already covered the drain flush in May, the fault is a failed float switch rather than a blocked line, and the switch is replaced under the contract's parts allowance the same day. Contracts include scheduled AC servicing at manufacturer intervals, typically two to four visits depending on system type and usage, plus plumbing and electrical inspections covering water heater condition, DB board integrity, visible pipework and drainage flow. Labour on agreed scheduled visits is included. Reporting is included: every visit produces a written condition record per property, which is exactly the documentation a landlord needs for RERA-aligned maintenance obligations.

What stays outside the contract

A landlord asks whether a burst flexible hose under a kitchen sink in December is covered. It is a callout, and here is the honest line: contracts cover planned, scheduled work and agreed inspection findings. They do not cover accidental damage, tenant misuse, major component failure such as a compressor replacement, or repair work arising from defects the contract was not scoped to address. What the contract does is catch the causes before they become those events. We scope each AMC against the actual systems in the property, so if your AC is eleven years old we will say so before you sign, and quote the likely compressor scenario separately rather than burying it in a contract that quietly excludes it.

The numbers behind prevention versus repair

Consider a single one-bedroom unit. A scheduled AC service including coil clean, filter replacement and drain flush costs a small, fixed amount twice a year. An emergency callout in July for an iced coil, a tripped breaker and an overflowing drain costs the callout, the diagnosis, the repair and often a ceiling repaint, because the tenant noticed the water before the cooling. Multiply that across five leased units and reactive-only maintenance reliably becomes the most expensive way to run a portfolio. Contracts also reduce voids, because units that are inspected between tenancies re-let faster, and tenants renew more often when faults are fixed on a schedule rather than after three follow-up messages.

How we scope and price an AMC

A new client with four units in JVC expects a brochure price list and is surprised when we book inspections first. Contract pricing depends on the number of AC units and their type, the age of the systems, the water heating arrangement, the electrical installation and the property's access constraints, so a genuine quote needs eyes on the property. We inspect, document existing condition, list what the contract will and will not cover in plain wording, and price per property rather than per portfolio average, so a well-maintained unit is not subsidising a neglected one. Contracts run on twelve-month terms with scheduled visit dates fixed at the start, so tenants can be notified properly and access problems are minimised.

How many visits does an annual contract include?

It depends on the property, but the typical pattern is two to four scheduled visits per year, with AC-heavy properties at the higher end because Dubai cooling loads demand it. Visit dates are agreed at contract start and mapped to manufacturer service intervals for your specific systems rather than applied as a flat schedule.

Are parts included in the AMC price?

Labour on scheduled visits is included, and consumables such as filters, sealants and standard fittings are included within an agreed allowance. Major components such as compressors, pumps and water heaters are quoted separately when they fail, with the supplier warranty passed to you. We state these exclusions in the contract, in writing, before you sign.

Can I put some units on a contract and keep others on callouts?

Yes, and some landlords do exactly that while they assess us. A common approach is to contract the units with the oldest systems or the most demanding tenants first, then move the rest across at renewal. The per-property pricing means the contract terms do not change when you add units later.
